Planning Laptops for an Event or Training Programme

Short-term bulk rentals are the most logistics-heavy thing we do, and they are also the ones where a little planning removes almost all of the risk. If you are running a training programme, a hackathon, an exam or a conference, these are the details worth nailing down early.

Brief the configuration, not just the count

Twenty laptops is not a specification. What matters is what has to run on them. Send the software list — versions included — and any licensing that needs to be installed in advance. We image the machines identically so every participant sees the same thing.

  • Operating system and version, if the training material depends on it
  • Applications to be pre-installed, with licence keys where required
  • User accounts — a shared local account is usually simplest
  • Whether machines need to join a network or domain
  • Any files or datasets to be placed on each machine beforehand

Plan the room, not just the hardware

The two things that most often derail an event are power and network. Twenty laptops need twenty sockets within cable reach, and venue Wi-Fi is frequently not designed for twenty simultaneous heavy users. Confirm both with the venue in writing.

Do not forget the data

If participants will save anything to the machines, agree in advance how it gets retrieved and how the drives are erased afterwards. We issue a written confirmation of secure wiping for every returned unit — for corporate and government clients this is usually a compliance requirement rather than a nicety.
